ROYALTY CHAFERS RENTAL AGREEMENT
This Rental Agreement ("Agreement") is made and entered into by and between Royalty Chafers ("Provider") and the undersigned individual or entity ("Customer") for the rental of chafers ("Equipment") as outlined below.
1. Rental Term and Payment
Full payment for the rental is due at the time of booking and must be made through our website. The Rental Term begins on the delivery date and time as scheduled with the Provider and ends at the scheduled pickup date and time, when the Provider will retrieve the Equipment.
The Customer is responsible for ensuring accurate scheduling for both delivery and pickup. If the Equipment is not ready for pickup at the scheduled time, or if the Customer needs to extend the Rental Term, an additional day’s rental fee will apply.
2. Cancellation, Returns, and Refunds
Cancellations made at least 48 hours prior to the Rental Term start date will receive a full refund, minus a 15% processing fee. Cancellations within 48 hours of the Rental Term start date are non-refundable.
Equipment must be returned on the agreed return date and in the same condition it was received, barring normal wear and tear.
Refunds are not available once the Rental Term has commenced, except in cases of documented equipment malfunction not due to Customer misuse.
3. Condition of Equipment and Cleaning Requirements
Equipment is inspected prior to rental to ensure it is in good working order and free from damage. The Customer agrees to notify the Provider immediately of any damage found upon receipt of the Equipment.
An automatic cleaning fee of $10 is applied to the order. However, the Customer is required to rinse each chafer to remove all food, grease, and residue before returning. Excessive cleaning requirements may result in additional charges.
4. Delivery and Pickup Terms
Standard Delivery and Pickup: All deliveries and pickups are conducted between 8 am and 12 pm. The Customer must ensure access to the event location during these times.
Same-Day Pickup or Same-Day LATE NIGHT Pickup for Venues: If the venue requires the Equipment to be removed immediately after the event, the Customer agrees to notify Royalty Chafers at the time of booking. Flexible pickup services, including Same-Day or Same-Day LATE NIGHT pickups, are available for an additional fee, which will be added to the final invoice.
Pickup Scheduling Responsibility: The Customer is responsible for confirming the proper pickup schedule in accordance with venue requirements. Failure to adhere to these requirements may result in additional charges for last-minute scheduling changes or extended Rental Terms.
Package Selection: Royalty Chafers offers both a standard and flexible package for event locations. The Customer must select the appropriate package based on the event location and agree to the associated terms and fees.
5. Handling, Use, and Location of Equipment
The Customer agrees to use the Equipment responsibly and only for its intended purpose. Equipment should not be moved to a different location once set up, and the Customer must adhere to the following “Do’s and Don’ts”:
Do’s:
Use Approved Heat Sources: Only use heat sources recommended for chafer use, such as chafer fuel or electric warmers.
Oven Use (Silver Inner Bowl Only): The silver inner bowl may be placed in the oven if necessary, such as for baking or browning dishes like macaroni. Note: Only the silver inner bowl is oven-safe—do not place the rest of the chafer components in the oven.
Rinse Before Return: Rinse each chafer thoroughly with soapy water to remove all food, grease, and residue before returning.
Store in Secure Areas: Ensure all rental items are stored in a secure, weather-protected area to prevent damage.
Don’ts:
Do Not Place Full Chafer in Stove: Only the silver inner bowl is oven-safe. Do not place the chafer lid, water pan, or other components in an oven or on a stovetop.
Do Not Sublet or Re-Rent: Rental items are strictly for the Customer’s use. They cannot be re-rented or sublet as if the Customer is the original owner.
Do Not Use Unauthorized Cleaners: Use only mild soapy water to clean the chafers. Avoid abrasive cleaners, bleach, or other unauthorized products, which can damage the chafer’s finish.
Do Not Attempt to Brighten with Unauthorized Products: Avoid using polishing agents or brighteners on chafers.
Do Not Expose to Weather: Chafers should not be exposed to rain, excessive heat, or other adverse weather conditions. Ensure they are stored and used in weather-protected areas.
The Customer is liable for any damages resulting from mishandling, improper use, or failure to follow these guidelines. Royalty Chafers reserves the right to inspect the setup and use of Equipment and to provide guidance as necessary.
6. Damage, Loss, and Replacement Fees
The Customer is responsible for the safekeeping of the Equipment throughout the Rental Term.
In the event of damage, loss, theft, or destruction of the Equipment, the Customer agrees to pay the replacement or repair costs as follows:
Minor Repairs: $20 per chafer
Complete Replacement: $200 per gold chafer, $150 per stainless steel chafer, $10 per utensil
All repairs will be conducted by the Provider. Attempting unauthorized repairs will result in additional fees.
7. Responsibility for Payments
The Customer is responsible for ensuring timely payment, which is required in full at booking through our website. By booking, the Customer agrees to adhere to the payment process and acknowledges that all sales are final.
8. Content Collection and Media Rights
Royalty Chafers reserves the right to capture video or photos of the chafers during setup and pickup for promotional purposes. This content will be captured respectfully and with minimal disruption. If the Customer prefers not to have content captured during their event, they must inform the Provider in advance.
9. Indemnification
The Customer agrees to indemnify and hold harmless the Provider from any and all claims, damages, or liabilities arising from the use, operation, or possession of the Equipment during the Rental Term.
10. Limitation of Liability
Provider shall not be liable for any indirect, incidental, or consequential damages arising out of or related to the rental of the Equipment. In no event shall Provider’s liability exceed the amount paid by the Customer for the rental of the Equipment.
11. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of laws principles.
Any disputes arising under or in connection with this Agreement shall be resolved exclusively in the state or federal courts located in South Florida.
12. Entire Agreement
This Agreement constitutes the entire understanding between the parties regarding the rental of the Equipment. No amendment or modification of this Agreement shall be valid unless in writing and signed by both parties.
13. Acceptance
By signing this contract during booking, the Customer agrees to the terms and conditions of this Rental Agreement and acknowledges that they have read, understood, and agree to abide by these terms.
